Event Operations Supervisor

Facilitate the smooth, safe, efficient and effective event delivery through the provision of back and front of house services, support and supervision. The role also acts as an ambassador representing Fed Square to the general public at all times. A key element of this position involves supporting the creation of a seamless integration of end to end event delivery.

Role Description

To facilitate the smooth, safe, efficient and effective event delivery through the provision of back and front of house services, support and supervision. The role also acts as an ambassador representing Fed Square to the general public at all times. A key element of this position involves supporting the creation of a seamless integration of end to end event delivery.

Key Responsibilities and Accountabilities

  • To ensure the successful delivery of events at the square through working with key stakeholders, undertaking the following duties:
    • Supervision of arrangements for day of event and performance activities throughout Fed Square managed venues and spaces
    • Assist in final event delivery planning which may include attending meetings with clients and event coordinators, preparing team documentation and working with other departments and contractors to implement last minute adjustments to briefs and site plans amongst changing Covid restrictions
    • Supervise general delivery of event and facilitate the bump in, event and bump out of phases
    • Mix of on the ground and office responsibilities using EBMS Event Planning Software
    • Welcome Clients to Fed Square and act as main point of contact for all Event Clients onsite
    • Client and public customer service interface
    • Ensure Fed Square Permit, OH&S and Risk Management requirements are met and assist clients where possible with meeting requirements
    • Ensure Event briefs are followed, and troubleshoot where/when brief may have gaps
    • Contractor and additional temporary personnel/staff supervision
    • Management of events inventory (cloths, furniture, signage etc)
    • Act as warden for the venue
    • Special guests/protocol management liaising with senior management
    • Liaison with site contractors, relevant tenants
    • Support security and service manager as required on weekend and after hours
    • Post event reporting and debriefing with events and management teams
    • Maintaining knowledge of and being proactive in relation to FSPL’s policies and procedures with particular emphasis on risk management and occupational health and safety practices and methods
    • Liaison with special authorities as required

Skills & Experience

  • Demonstrated high level customer service
  • Demonstrated solutions focused approach to problems/issues
  • Ability to operate autonomously and as part of an integrated team
  • Ability to operate as part of the emergency management response system at Fed Square
  • Frontline experience in dealing with VIP requirements and protocol
  • Proactive “hands on” approach to delivering services
  • Experience in large venue-based front of house and back of house co-ordination
  • Demonstrated logistics and supervision skills in a complex environment
  • Use of EBMS Event Planning Software is desirable

Qualifications

  • Forklift license (desirable)
  • Elevated Work Platform license (desirable)
  • Worksafe – Construction induction card

Special Requirements

This is a permanent position with some after hours and weekend work required where necessary.

Manual labour may be required at times.
