Event Operations Supervisor

The Role

We have an exciting and dynamic program of events to deliver at Fed Square and we are looking for a Casual Event Operations Supervisor to join the team! This is a great opportunity to deliver all aspects of on-ground event operations at Fed Square and to join a genuinely supportive & collaborative team culture.

Accountabilities

To ensure the successful delivery of customer experience and events at the square through working with internal and external stakeholders, undertaking the following duties:

  • Supervision of events and activities throughout Fed Square
  • When required, assist in final event delivery planning which may include attending meetings with clients and Public Programming and Event Coordinators, preparing team documentation and working with other departments and contractors to implement last minute adjustments to briefs and site plans amongst changing COVID restrictions
  • Liaise with client on-site, understanding their needs and expectations to assist the delivery of the event which includes the bump in, running of the event and bump out phases
  • Regularly walk around the precinct ensuring events are running smoothly, timely and the client or Fed Square Event Coordinator is supported
  • Some office responsibilities using EBMS Event Planning Software
  • Welcome clients to Fed Square and act as main point of contact for all Event Clients onsite
  • Support tenant communication as required during the running of the events ensuring little to no impact is caused to precinct tenants from event activities.
  • Proactive client and public customer service interface
  • Ensure Fed Square Permit, OH&S and Risk Management requirements are met and assist clients where possible with meeting requirements
  • Ensure event briefs are followed, and troubleshoot where/when brief may have gaps
  • Contractor and additional temporary personnel/staff supervision
  • Management of events inventory (cloths, furniture, signage etc)
  • Support emergency activities and assist wardens for the venue as directed
  • Special guests/protocol management liaising with senior management
  • Support security and service manager as required on weekend and after hours
  • Post event reporting and debriefing with events and management teams
  • Liaison with special authorities as required

Skills & Experience

  • Demonstrated Experience in Outdoor Events
  • Experience in large venue-based front of house and back of house co-ordination
  • Demonstrated logistics and supervision skills in a complex environment
  • Demonstrated high level customer service
  • Ability to operate as part of the emergency management response system at Fed Square
  • Frontline experience in dealing with VIP requirements and protocol
  • Proactive “hands on” approach to delivering services
  • Use of EBMS Event Planning Software is desirable

Qualifications

  • Forklift license (desirable)
  • Worksafe – Construction induction card (desirable)

Special Requirements

This position has a requirement for work on a 24/7 roster. This includes after hours and weekend work as per roster notifications.
